Caltex is pleased to present the new StarFleetPlus card, which replaces the old StarFleet card. We’ve given it a new name and a fresh new look, yet the services and benefits you expect remain exactly the same. Use it with confidence wherever you use your current card.
A StarFleetPlus card is accepted at over 2,400 StarFleetPlus merchants around Australia for both maintenance and repairs. As a result all fuelling and maintenance costs can be captured under one reporting system, through the use of one card.
Because StarFleetPlus is a fully pre-authorised system, significant savings in vehicle costs can be achieved both directly through preferred rates and validated repairs, and indirectly through reduced administration and increased productivity.

- - Maintenance Pre-authorisation

StarFleetPlus can save you money on maintenance and repairs because of pre-authorisation. Pre-authorisation means that the repairer must ring StarFleet before commencing the repairs to obtain an authorisation number.
Starfleet has preferred rates for parts and labour with most repairers in the network. These prices are better than retail and you will save an average of 10 –15%.
Vehicle manufacturers specify how much time vehicle servicing and other repairs should take. But some repairers may charge more than the recommended time. Pre-authorisation means that StarFleetPlus can enforce its preferred rates and the manufacturer’s recommended repair times to ensure you save money.

There is a lot of administration involved if you have a fleet of vehicles. If you are not a dedicated fleet manager you may find it hard juggling the fleet management work and your other responsibilities. StarFleetPlus takes most of the administration away so you can focus on your core responsibilities e.g. accounting, HR, purchasing etc.
Some of the tasks you may be doing now are:
- - Purchasing and selling vehicles
- - Managing fuel cards
- - Organising insurance
- - Signing vehicles onto Roadside Assistance in each state
- - Looking after accidents
- - Processing infringements
- - Vehicle registrations
- - Handling driver queries
- - Paying a lot of invoices
- - Authorising repairs and maintenance
We know how much work is involved. Caltex has a fleet of only 90 vehicles and we use StarFleetPlus for repairs and maintenance but we still have one employee working full time on the list of tasks above.

Every time a vehicle is serviced StarFleet receives an average of three calls from the repairer and each call takes 3-5 mins. The StarFleet Maintenance Controllers are qualified mechanics who use a fleet management database that contains the vehicle’s details and its repair history.
Before authorising a repair they, use the database to check –
- - The company fleet policy
- - Individual vehicle requirements
- - Vehicle’s repair history
- - Scope and size of work to be conducted
- - Anticipated date of disposal for the vehicle
- - If any manufacturer or previous repair warranty should apply
Relying on your memory or a paper filing system would take up a lot more of your time, and mean a lot more work for you.
After the work has been completed the repairer sends the invoice to StarFleet. The Maintenance Controllers check the invoice to ensure the correct rates have been charged and all repairs were authorised.

StarFleetPlus provides fleet management services to a range of customers with different vehicle types. There is a database of information that can be used to provide advice to you on how to effectively manage your fleet.

The Fleet Register provides the purchase information on each vehicle and the latest odometer readings each month. Using the purchase dates and the latest odometer readings, the fleet register shows the planned disposal date as per your replacement policy.

The Fleet Detail report gives you a detailed description of repairs that have been completed during the month. It also gives you a summary of the fuel used and kilometres travelled during the month and the life-to-date maintenance costs.

The Fleet Exceptions are used to effectively manage your fleet. Each month we provide exceptions on:
- - Overdue servicing
- - Disposal due
- - Registration due
- - Exceeds tank capacity
- - Abnormal maintenance
- - Abnormal consumption

Caltex provides FBT reporting as part of the standard suite of reports. The FBT values are calculated using the statutory method.

StarFleetPlus can also provide a range of ad-hoc reports on request. This include:
- - Complete vehicle maintenance history
- - Fuel transaction summary
- - Driver details
- - Exceptions
- - Life to date costs
- - Vehicle sale report
Additional ad-hoc reports can be developed to suit your needs if required.

This is a new feature of StarFleetPlus that is something no other fleet management company offers.
All reports need to be provided in a timely fashion so they can be used effectively and exception reporting is no different. StarFleet’s Real Time Exception Reports are exactly as the name implies; real time. So this means that you receive information that is accurate and relevant.
Exceptions can be sent on a weekly, fortnightly or monthly basis for overdue services, missing odometer readings, vehicles due for disposal and registrations that are due. Drivers can be sent an email when their vehicle due for service or if they do not enter an odometer reading.
